Refund Policy

Overview

This Refund Policy applies to all services provided by hotelhuddle through HotelHuddle.com and its family of satellite sites — groupRooms.org, hotelHaggle.org, hotelSlots.org, and bookMyTeam.org. HotelHuddle.com is a discovery and routing platform that directs you to the appropriate satellite site where your Request for Proposal (RFP) is processed. By using our services, you agree to the terms outlined below.

When you submit a request on HotelHuddle.com, you will be redirected to the appropriate satellite site, where that site's terms, pricing, and refund policies apply. The satellite site's refund policy governs the specific RFP fees charged on that site.

Subscription Cancellations

You may cancel your subscription at any time. However, cancelling a subscription will not initiate a refund — your services will remain available until the end of the current billing period. We do not provide prorated refunds for partial billing periods.

If we offer a free trial, you will not be charged until the trial period ends. Cancel before the trial ends to avoid charges.

RFP Submission Fees

All RFP submissions are free on every HotelHuddle family site. There are no per-request fees or pay-as-you-go charges on any site.

Service Completion: Our service is considered complete when either of the following occurs:
(a) We have provided a minimum of five (5) hotel responses to your request, OR
(b) You accept any hotel offer, regardless of how many responses you received.

Individual subscriptions at $4.99/month and company subscriptions at $9.99/month (plus $4.99/user) include unlimited RFP submissions across all HotelHuddle family sites.

Last Negotiated Rate (LNR) Submissions

Companies may submit LNR requests at no charge (up to 50 destinations). LNR submissions are free and non-refundable once the submission has been processed and distributed to hotels.

Seller of Travel Restricted States

hotelhuddle and our affiliates are committed to maintaining compliance with all applicable Seller of Travel (SOT) regulations. RFPs submitted from or to Seller of Travel restricted states will not be processed. Our platform is designed to prevent these submissions from being processed.

While we make every effort to remain in compliance, errors may occasionally occur. If it is found that a user was able to complete an RFP from or to an SOT-restricted state, the RFP submission fee will be refunded in full.

Hotel Booking Refunds

Important: hotelhuddle is a marketplace that connects you with hotels. We do not directly handle hotel bookings or payments to hotels.

Refund policies for hotel reservations are set by each individual hotel and will be clearly displayed before you confirm any booking. Common policies include:

  • Flexible Rate: Free cancellation up to 24-48 hours before check-in
  • Non-Refundable Rate: No refund for cancellations (lower rate)
  • Partially Refundable: Refund minus one night's stay or cancellation fee

Always review the specific cancellation policy for your reservation before confirming.

How to Request a Refund

If you need to request a refund for an RFP submission fee or subscription charge:

  1. Email: Send your request to legal@hotelhuddle.com
  2. Support Portal: Create a support ticket through your user portal dashboard
  3. Include: Your account email, transaction date, and reason for refund request
  4. Timeline: Submit refund requests within 30 days of the charge

We will respond to refund requests within 5 business days.

Processing Time

Approved refunds will be processed to your original payment method (credit/debit card via Stripe) within:

  • Credit/Debit Cards: 5-10 business days

The time it takes for the refund to appear in your account depends on your financial institution.

Disputed Charges

If you believe you have been charged incorrectly, please contact us first at legal@hotelhuddle.com before filing a dispute with your bank or payment provider. We will work with you to resolve the issue promptly.

Changes to This Policy

We may update this Refund Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated" date.
