Three room lines and one button
AES Show Nashville opens Friday October 30, 2026 at the Gaylord Opryland Resort and Convention Center. The opening sits six days out. The organiser's hotels page prints three lines about rooms in order. The discounted room block is sold out. A reader can book through the button at the regular rate on the website. A 30 percent saving on the regular room rate is available on strictly limited rooms.
Both Book Your Room buttons point at the hotel's Marriott overview page. That address carries no group code and no dates. A guest who wants the 30 percent rate has to ask the hotel for that rate by name.
The page also links VisitMusicCity, Hotels.com and Booking.com and states that those companies are not affiliated with the AES or with the show. Any contract sits at the reader's own risk.
The clock that sets the nights
Workshops and sessions run 2 p.m. to 6 p.m. on Friday, 9 a.m. to 7 p.m. on Saturday and 9 a.m. to 5 p.m. on Sunday. The exhibit hall runs 10 a.m. to 6 p.m. on Saturday and 10 a.m. to 5 p.m. on Sunday. On-site registration runs 10 a.m. to 6 p.m. on Friday, 8 a.m. to 6 p.m. on Saturday and 8 a.m. to 4 p.m. on Sunday in front of the Ryman Exhibit Hall B4 and B5.
A 2 p.m. Friday start makes the Thursday night the first night to book. Sunday closes at 5 p.m. in the session rooms and in the exhibit hall. A Sunday checkout leaves the luggage problem for the final afternoon. Book the Sunday night or get the checkout hour in writing.
The special events list carries one item with its own transport rule. The AES HBCU 2026 Audio Conference runs 10:30 a.m. to noon at Curb, 43 Music Square East, and the organiser states own transport is required. No date prints beside it, so ask the organiser for the day before building an arrival around it.
The badge decides the room count
Registration splits three ways. All Access costs $575 for AES members, $100 for AES student members and $700 for non-members, and covers programming, special events, workshops, papers and the show floor. A one-day All Access pass costs $195 for members and $220 for non-members. Exhibits+ costs $25 for members and $35 for non-members and reaches the exhibit hall, the Main Stage sessions and the experience rooms at selected times.
An Exhibits+ badge needs the Saturday and the Sunday, which is one or two nights. All Access runs from the Friday 2 p.m. block to the Sunday 5 p.m. close, which is three nights. Price the badge and the nights together.
The registration page links a cancellation policy page. Read it before you accept a non-refundable room rate.
Airport, downtown and the shuttle question
The hotels page places the resort near Nashville International Airport, downtown and the Grand Ole Opry. OSRM road routing puts the airport 10.1 miles from 2800 Opryland Drive, the Ryman Auditorium 9.6 miles out and the Grand Ole Opry house 0.6 miles away. No page on the show site mentions a shuttle. Ask the hotel whether it runs airport transport and what that transport costs.
A room inside the Opryland complex puts the show floor in the same building. A downtown room puts the Ryman Auditorium and Lower Broadway outside the door and adds a daily drive.
The charges beside the rate
The hotels page publishes no nightly rate, no resort charge and no parking charge. Ask the property for an all-in nightly total with tax, the resort charge and the parking charge itemised. Ask for the cancellation deadline in writing at the same time.
Holding rooms away from the block
hotelhuddle sends one request to 50 or more hotels in a destination at no charge. Hotels answer with quotes in 24 to 72 hours, and group requests cover 10 or more rooms. A studio, a university audio program or a manufacturer with a booth crew can put a whole room list into one request and quote the answers against the Gaylord rate.
Three steps, in order. Ask the Gaylord for the AES rate and the regular rate on one call. Hold a rate you can cancel until the badge decision is made. Confirm the Sunday checkout hour before the last session starts.
