The IAAPA Public Affairs Conference runs March 1 through March 3, 2027 in Washington. Three prices decide the trip, and each one moves on its own date: the registration fee at $499 for members and $999 for nonmembers, early bird pricing that ends December 31, 2026, and a Sofitel block at $349 a night that closes February 9, 2027.
The conference page describes direct access to lawmakers, discussions on the future of travel and tourism, and time with industry leaders. The venue listed is the Sofitel Washington DC at 806 15th Street NW, Washington, DC 20005.
The membership question comes first
The pricing table lists $499 for members and $999 for nonmembers. One badge carries a $500 gap.
No dues figure appears on the conference page. IAAPA sends a prospective member to an annual dues calculator instead. Membership pays for itself once annual dues fall below the $500 gap.
Run the calculator before booking the room. The membership decision sets the badge price. The badge price has its own deadline, and the room price has a later one.
Early bird ends December 31, 2026
The event page states that early bird rates end December 31, 2026. December 31 falls 60 days before the conference opens on March 1.
The published table carries the two member figures and no separate early-bird number, so the size of the increase after December 31 is not published. Register before the cut-off to hold the rate the page prints.
The Sofitel block: $349 and a February 9 cut-off
IAAPA holds a conference rate of $349 per night plus taxes and fees at the Sofitel Washington DC Lafayette Square, 806 15th Street NW, Washington, DC 20005. The block covers stays from March 1 to March 3, 2027 and closes February 9, 2027 at 4:59pm EST. The page calls the rooms limited.
The registration fee excludes accommodation and airport transfers. IAAPA states that attendees may arrange their own accommodation.
Forty days separate the two cut-offs
December 31 to February 9 is 40 days. A facility can register inside the early-bird window and hold the room decision until February. The block cut-off then falls 20 days before the conference opens.
Two things change inside those 40 days. The group rate stops being secured after February 9, and the rooms IAAPA describes as limited are the ones other attendees book in the same window. Registering before December 31 costs nothing extra and holds the printed rate.
The check-out night follows the meetup
Attendees receive complimentary admission to the IAAPA Meetup at the National Geographic Museum of Exploration on the evening of March 2, 2027.
The meetup and the closing day both sit inside the block window. A March 2 checkout drops the Tuesday evening meetup. A March 3 checkout keeps the full program and gives up the Wednesday night. The block itself runs only through March 3, so a Thursday morning departure needs a separate arrangement with the hotel.
What to ask the hotel in writing
The $349 figure excludes taxes and fees. Ask the property for the nightly total with District tax included, because the conference page carries no tax rate.
Ask three further questions. Does the group rate hold if the stay shortens by a night? What is the cancellation deadline, and does it differ from the February 9 block cut-off? Does the rate reach the nights either side of March 1 to March 3?
Order of operations
Run the dues calculator. Register before December 31 to hold the published badge price. Book the Sofitel by February 9 at 4:59pm EST. Confirm the checkout night against the March 2 meetup before the reservation is made.
The badge and the room answer to two separate clocks. The badge clock runs out 40 days before the room clock does, and the room clock runs out 20 days before the conference opens.
